End-of-Year Procedures

A guide for managers preparing their Off2Class account for the transition between school years.

Overview

Off2Class does not automatically remove or reset any accounts at the end of the school year. All student data, teacher accounts, placement test results, homework scores and lesson history carry over year to year until you make changes.

This article walks through the recommended steps to prepare your account for the new school year.

What to know before you start

There are two ways to handle student accounts you no longer need:

  1. Remove: The student is removed from the account but their data is preserved. If the student is re-added later, their data is restored. This is the recommended option in most cases.
  2. Permanently Delete: The student and all of their data are permanently removed. This action is not reversible.

We recommend removing students rather than permanently deleting them. This keeps your options open if a student returns to the district or if you need to reference their historical data.

Step 1: Export your data

Before making any changes to your account, export the data you need for your records. All exports are available in the Enterprise Management Panel under Export.

Available exports include:

  1. Student placement test results
  2. Student account data
  3. Student lesson history
  4. Student homework history
  5. Teacher account data
  6. Teacher lesson history
  7. Teacher homework history

We recommend exporting placement test results and student account data at a minimum before removing any students.

Step 2: Manage student accounts

Remove students who have graduated, left the district or no longer need Off2Class access. Consider using this template to help identify students who can be removed.

If you need to remove a large number of students, use the Select Multiple Students by Email feature to select them in bulk, then apply the Remove action. You can also multi-select students directly from the Students page.

Only use Permanently Delete if you are certain the student's data will never be needed again.

Step 3: Review teacher accounts

Teacher accounts carry over year to year. Review your teacher list and remove any teachers who have left the district or will no longer be using Off2Class. If a teacher is transferring to a different role but staying in the district, you may want to keep their account active.

For teachers who are returning, no action is needed.

Step 4: Prepare for the new school year

When you are ready to set up for the new school year:

  1. Add new teachers and students as needed. For help with rostering, see our Rostering 101 overview.

  3. Assign placement tests to new students to determine their starting proficiency level. See How can I assign the placement test? for instructions.

SSO districts (Clever and ClassLink)

If your district rosters via Clever or ClassLink, your student and teacher accounts are managed through your SSO provider. Manual rostering is disabled when SSO is active.

Your IT team is responsible for updating the roster in your SIS (Student Information System) to reflect changes for the new school year. Once the SIS is updated, Clever or ClassLink will sync those changes to Off2Class automatically.

FAQ

Does Off2Class automatically remove students at the end of the year?

No. All accounts and data persist until you make changes.

Will my students lose their data if I remove them?

No. Removing a student preserves their data. If the student is re-added, their data is restored. Only Permanently Delete erases data, and that action is not reversible.

Do placement test results carry over?

Yes. All placement test results, homework scores and lesson history carry over year to year.

Do teacher accounts need to be re-created each year?

No. Teacher accounts carry over. Only remove teachers who have left the district or will no longer use Off2Class.

I roster through Clever or ClassLink. Do I need to do anything in Off2Class?

Your IT team should update the roster in your SIS. Clever or ClassLink will sync those changes to Off2Class. No manual changes are needed in the Off2Class platform.
