How can I add a teacher?

In this article, we'll cover how to add teachers one at a time or in bulk via import.

The features mentioned in this article are only available to managers on paid multi-teacher subscriptions.

If your account is rostered via SSO (Clever or Classlink), manual rostering of Teachers, Students, and Classes is disabled. Please contact your coordinator or IT contact for help with rostering. Learn more in this Help Article.

This article is composed of two sections:

Adding teachers one at a time

  1. Click 'management' in the top left.
    1. If you also have the teacher role, hover over management, then click 'enterprise'
  2. Click the 'teachers' card. 
  3. Click 'add teacher' near the top left
  4. Fill out the fields and click 'submit' once complete
    1. Name: The teacher’s name.
    2. Email: The teacher's email.
    3. Password: Used to log in to Off2Class. (Must be at least 8 characters long)
    4. Max Students: The maximum number of students the teacher can have rostered at once.

Make sure you share the login details and the login page (link) with the teacher!

Adding teachers in bulk via import

  1. Click 'management' in the top left.
    1. If you also have the teacher role, hover over management, then click 'enterprise'
  2. Click the 'import' card. 
  3. Click 'go to import teachers' on the left. 
  4. Download the template.
    1. The template will give you a spreadsheet file with a .CSV (comma-separated values) that is pre-formatted exactly how it needs to be in order to bulk-add teachers to Off2Class.
  5. Open the file and fill out the template
    1. Important
      1. Ensure you keep all header information in the file, even if the rows do not contain information. Uploading a file without all the header information can result in an import failure.
      2. Ensure that each row has a unique email address.
      3. Trailing characters/spaces/new lines sometimes cause the importer to throw an error. Ensure the CSV file is formatted correctly. 
    2. Required fields
      1. Email: The teacher’s email
      2. Name: The teacher’s full name
      3. Password: Used to log in to Off2Class. (Must be at least 8 characters long)
    3. Optional fields
      1. Student Capacity: Limit the number of students the teacher can have.
      2. Classes: If you fill out the class name fields, class(es) will be created when the file is uploaded. Use unique class names (i.e. avoid having multiple classes with the same name). If multiple classes have the same name, it can make managing them difficult.
        1. Class Name 1: Create a Class for the teacher
        2. Class Name 2: Create a class for the teacher
        3. Class Name 3: Create a class for the teacher
        4. Class Name 4: Create a class for the teacher
        5. Class Name 5: Create a class for the teacher
  6. Back in Off2Class, choose the file you just created and click 'upload'
    1. The importer will only upload new teachers. Do not include teachers who already exist on your account, or the import will fail.
    2. Teachers do not receive automated emails once their account is created via import.

 

Handling the “email already exists” error message

This error message can mean a few different things:

  • The email is already registered to your account as a student, teacher or manager.
    • If a student profile was accidentally created, you can permanently delete the student and then try adding them as a teacher again.
    • If you’re attempting to help a teacher regain access (i.e. change a password), you can edit their account. 
    • If you’re attempting to give a manager teacher access, you’ll need to contact us, and we’ll be happy to help you.
  • The email is registered to another account.
    • Contact us and we’ll be happy to help.
  • The email was removed/deleted.
    • Contact us and we’ll be happy to help
